Job Description

We are currently seeking a highly organised and proactive Site Administrator to join our project team at Altona. Reporting to the Project Manager, the successful candidate will play a pivotal role in supporting smooth and efficient site operations.

Key Responsibilities

  • Coordinate all project travel and accommodation bookings.

  • Manage onboarding and mobilisation requirements for project personnel, ensuring all documentation and site access needs are met.

  • Prepare and submit daily, weekly, and monthly reports and other required documentation to the client.

  • Oversee document control processes, ensuring accurate filing, version management, and compliance.

  • Maintain and update key project registers to support effective project delivery.

  • Record and distribute meeting minutes, ensuring actions are captured and followed up.

  • Reconcile personnel timesheets and support payroll accuracy.

  • Process and reconcile waste dockets, including managing Waste Tracker entries.

  • Raise purchase orders and reconcile invoices in line with project budgets and procurement processes.

  • Support the maintenance and servicing schedule by assisting with plant and equipment records.

  • Provide general administrative support to the project team to ensure efficient day-to-day operations.

  • Perform additional administrative tasks as required to support successful project outcomes.

Required Skills & Experience:

  • Previous experience in a similar administrative role. Exposure to the construction, oil & gas, mining or other heavy industry setting is highly regarded.
  • Proficient in a range of computer software, including advanced skills in Microsoft Excel, PowerPoint, Word, Outlook, and Teams.
  • Excellent communication and interpersonal skills.
  • Highly organised with strong scheduling skills and attention to detail.
  • A proactive team player and problem solver.
